A Guide to the Sonder Payments Merchant Application

Section 1:​ MERCHANT BUSINESS INFORMATION

This section is for general business information.

  • All fields are required unless the billing address is the same as the location address.
  • The name and email address used in the “Contact Name” section will be used for all communication between Sonder Payments and the merchant, including equipment and welcome emails. This name can be different than the Control or Beneficial Owner information (see section 2).

Section 2:​ BENEFICIAL/CONTROL OWNERSHIP INFORMATION

This section gives information about the ownership of the business. A Control Owner The application must have both a Control Owner and Beneficial Owner (25% or more) listed.

  • Any person that owns 25% or more of the business must be listed​ either​ as Control Owner, Beneficial Owner, or both.
  • Any person listed here MUST include social security number due to the Patriot Act (outlined in Section 11).
  • If an owner that owns over 25% is listed as Control Owner, they must also be listed as a Beneficial Owner.
  • The Control Owner can be different than the Beneficial Owner.

Section 3:​ IMPORTANT DISCLOSURES

This is a signature for accepting the Merchant Processing Agreement. Please read member bank responsibilities and merchant responsibilities. This signature is required.

Section 4:​ BUSINESS PROFILE AND ASSUMPTIONS

This section outlines the basic processing information about your business. Asterisks (*) indicate required fields.

  • Annual Volume*​: estimated annual volume of credit card transactions
  • Average Ticket​*: estimated amount of average credit card transaction
  • Highest Ticket​: Please list the highest possible ticket to be processed via credit card. This is important to know for security purposes. If something higher than what is listed is processed, the merchant could be subject to a routing hold.
  • Open Date:​ this is the date the business opened.
  • Card-Present/Card-Not-Present:​ This outlines how you expect to accept credit cards. The sum of these two categories must equal 100%.
    • Card Swipe/Imprint​: must equal the total card-present percentage.
    • MOTO/Internet:​ must equal the total card-not-present percentage.
      • MOTO = mail or telephone
      • Internet = accepting cards via a shopping cart on an e-commerce site
  • % B2B​: the percentage of credit card transactions that are business to business
  • % International Cards​: the percent of credit card transactions with international credit cards
  • Types of Goods/Services Sold*​: description of what is being sold by the merchant.

Section 5:​ COMPLIANCE INFORMATION

This section only needs to be filled out if the merchant is using a third-party PCI compliance software and they do not want to switch. In most cases, this will be left blank.

  • We recommend using WorldPay’s PCI compliance integration, as it is easier to maintain and update.
  • Please only fill this section out if you want to continue your PCI compliance with your third party.

Section 6: ​MERCHANT BANK ACCOUNT INFORMATION

This section is for credit/debit information.

  • You must list one bank account for all credits and/or debits.
  • If the merchant wants a separate account for fees, chargebacks, or credits, you must fill out the second account information and checkmark what fees you want to come out of this account.

Section 7: CHECK/ACH SERVICES

This section is only filled out if you wish to process check or ACH payments with Sonder. Speak to your account representative for guidance if you need these options.

Section 8: FEE SCHEDULE

This section allows the merchant to select when and how fees will be assessed. Asterisks (*) indicate required fields.

  • Discount*:​ This is the frequency at which the discount rate is withdrawn from the bank account. This can be done daily or monthly.
    • If daily,​ the fees will be withdrawn the following business day on the amount ran the previous day.
    • If monthly,​ the fees will be taken at the end of the month for all processing volume.
  • Business Type*:​ Select retail, restaurant, MOTO, or internet. If internet-based, you will be required to show the shopping cart on the website.
  • ​Discount Rate/Transaction Fee:​ Your processing rates will be listed here.
    • NOTE: The discount rate for American Express will always be 0.30 higher than the base rate. This is to compensate for the higher interchange fees charged on the American Express card network.
  • American Express*​: this section is asking if you currently have an American Express Account number that you would like to use to process Amex cards.
    • Existing American Express Number: Yes or no. If yes, please provide number.
    • Annual Estimated or Actual American Express Volume: Mark yes if American Express processing volume is less than $1,000,000, no if more.​

Section 9:​ OCCURRENCE FEES

This section outlines fees that can be charged to your account with each occurrence of the indicated event.

  • The fees that are applied are the On-File Fee and Batch Fee.
    • On-File Fee: this is a monthly fee to store all of the transaction and card data on the back-end.
    • Batch Fee: this fee is applied when a batch is made. A batch is when a group of credit card transactions is settled all at one time. This is usually a daily occurrence unless the merchant chooses to settle more than once per day.
  • Note: If you opt-in for paper statements, you will be charged $5.00 per month​.

Section 10:​ UNLIMITED PERSONAL GUARANTY AND CREDIT INFORMATION AUTHORIZATION

This section is for someone to fill out if they want to be a Guarantor of the Merchant. A credit check will be performed on any personal guarantors.

Section 11:​ PATRIOT ACT AND BACKGROUND AUTHORIZATION

This section outlines the Patriot Act, which requires financial institutions (including Sonder Payments) to obtain, verify, and record information of individuals and businesses that open new financial accounts.

Section 12​: MERCHANT ACKNOWLEDGMENT AND SIGNATURE

By signing this section, you agree to the terms and conditions outlined within the application. Your application cannot be processed without this approval.

Section 13:​ EQUIPMENT SETUP

Don’t worry about this section. Your sales representative will complete it for you.

Section 14:​ SITE INSPECTION INFORMATION

Section 15:​ MONTHLY MEMBERSHIP

By signing this section, you agree to the terms and conditions for Sonder Payments Membership, including the monthly membership fee. Your application cannot be processed without this approval.
